Deposit, Refund and Surgery Cancellation Policy
This BALTICLINIC Deposit, Refund and Surgery Cancellation Policy applies to all BALTICLINIC patients, surgeons, and types of surgical procedures performed.
By paying the deposit, the patient confirms their acceptance of the reserved surgery date, the quoted surgery price, and the terms and conditions set out in this document.
Reservation Deposit: To confirm and reserve a surgery date, the patient must pay the deposit specified in the individual offer within 7 days from the date of surgery reservation.
If the deposit is paid by bank transfer, the patient is requested to send proof of payment to their patient coordinator, including the patient’s full name and contact telephone number so that the payment can be properly identified and allocated.
Once the deposit payment has been received and confirmed, BALTICLINIC will send the patient an official surgery confirmation by email, together with all relevant information regarding the surgery, arrival, accommodation, and preparation for the procedure.
If the deposit is not received within 7 days, the surgery date reservation will be automatically cancelled, and the reserved date may be offered to another patient.
Price Confirmation: Payment of the deposit confirms the patient’s acceptance of the surgery price stated in their individual offer. The confirmed price will remain unchanged, except where the patient requests additional procedures or services, or where the consultation determines that additional treatment is required due to individual medical circumstances that were not included in the original offer.
Refunds and Cancellation Policy: Security Deposit & Remaining Balance Deposit
The remaining balance of the surgery cost must be paid at the BALTICLINIC clinic before the surgery.
Please note that once a surgery date has been confirmed, BALTICLINIC begins carrying out various preparations and reserving services specifically for the patient. This may include reserving the hospital and operating room, medical staff, pre-operative tests, medical consultations, medical supplies, and other services related to the surgery.
Therefore, the following conditions apply to deposit refunds:
1. Surgery cancellation for medical reasons: If, during the pre-operative period, a medical condition is identified and the surgeon determines that it is not safe to proceed with the surgery, the surgery may be cancelled. In such cases, the deposit may be refunded, after deducting all costs already incurred by BALTICLINIC, including medical tests, consultations, doctors’ fees, and other related expenses.
2. Rescheduling of surgery for medical reasons: If the surgery needs to be postponed due to a medical condition identified during the pre-operative period, the deposit may be transferred to a new surgery date, after deducting the costs already incurred by BALTICLINIC.
3. Surgery cancellation 15 days or less before surgery: If the patient cancels the surgery 15 days or less before the originally scheduled surgery date, the deposit is non-refundable.
4. Surgery cancellation 31–45 days before surgery: If the patient cancels the surgery 31–45 days before the originally scheduled surgery date, 60% of the deposit amount may be refunded, after deducting any costs already incurred by BALTICLINIC.
5. Surgery cancellation 46 days or more before surgery: If the patient cancels the surgery 46 days or more before the originally scheduled surgery date, the deposit may be refunded in full, after deducting any costs already incurred by BALTICLINIC.
6. Failure to comply with BALTICLINIC requirements: If the surgery cannot be performed because the patient has failed to comply with BALTICLINIC requirements, including payment requirements or the requirement to provide medical documents, consent forms, or other necessary information, an administrative cancellation fee of 35% of the deposit amount will apply.
7. Failure to follow pre-operative instructions: If the patient fails to follow the pre-operative instructions provided by the medical staff and, as a result, the surgery cannot be safely performed, an administrative cancellation fee of 35% of the deposit amount will apply.
8. Rescheduling at the patient’s request: If the patient requests to reschedule the surgery date, all refund and cancellation conditions will continue to apply based on the originally reserved surgery date.
9. Notice of surgery cancellation: The patient must notify BALTICLINIC of any surgery cancellation in writing, by email, or through their patient coordinator.
10. Refund processing period: If the patient is entitled to a refund, please allow approximately 8–12 weeks for the refund to be processed. The amount refunded will depend on the cancellation conditions applicable to the specific situation and the costs already incurred by BALTICLINIC.
